7 Data Migration Tips

Tip 1: Users want everything.

Users want all available data but do not always know why. Therefore, be critical. When migrating to a new system, it is better to transfer as little existing data as possible rather than too much. This enhances ease of use and makes it easier to manage your data integrity.

Tip 2: Bring what you use.

You will not use available data that you are not using now in the future either; run a report and check when the data was last edited.

Tip 3: Do not bring too much old data with you.

Old data is often, you guessed it, outdated. The information is therefore no longer usable, and you will easily make a blunder if you do use it.

Tip 4: Keep the old system live

If you do not want to take any risks at all, or are emotionally attached to your data, it is a good idea to keep the old system live for reference purposes.

Tip 5: Deduplicate your data

Within the company, various files may have been created for the same customer (duplicate records); merge these and have the responsible account manager do this. This is also a good time to review the customer list.

Tip 6: Remove errors

Spelling errors, duplicate names, and special characters can only be removed manually. It is worth doing this at the same time as checking for duplicate records.

Tip 7: Use Dataprep from Zoho

Zoho has a perfect tool to clean up or modify your data: ZOHO Dataprep. If you have licenses for Zoho One, Dataprep is already included in your package. Install it and ask the AI for tips to clean up your data. You will be amazed at how simple this works.

Extra top tip!:

Prioritize data cleaning within the accounts and contacts module. After all, leads and opportunities are qualified and updated during the daily workflow anyway. Additionally, this is an excellent opportunity to thoroughly review all ongoing projects.
